Job Description
Responsibilities:
- Reporting to the Director, Creative and Brand, provide administrative support as well as support the day-to-day operation of the Creative department
- Work closely with Managers and Creative Directors to support the department
- Manage the operating and capital departmental budgets and spending
- Complete monthly budget forecasting, month-end accruals and processing of invoices
- Manage voice over talent contracts and payments
- Manage and process department ACTRA payments
- Manage HR employee administration for the department
- Payroll input and support
- Vacation and time tracking including overseeing the Media Pulse/SAP vacation system for the team
- Effective communication with stakeholders internally and externally to ascertain the most accurate information and identify efficiencies concerning budgets, process and workflows.
- Standardize procedures for all department activities and keep the team informed of existing and new company policies and procedures
- Record keeping and generate reports related to Creative projects and priorities
- Order and maintain office supplies as required
- Travel arrangements as needed
Qualifications:
- Post-secondary education or equivalent
- 3-5 years of administrative experience
- Computer skills: Microsoft Office, Excel, PowerPoint, Outlook
- Must understand budgets with accuracy and detail
- Exceptional organizational skills, with a strong ability to multi-task and keen attention to detail
- Ability to prioritize work, meet deadlines and work under pressure
- Strong written and oral communication skills
- Ability to work independently and as a member of a team
- Excellent office management skills
- Respect for confidentiality
Bilingualism is an asset (English and French); adequate knowledge of French is required for positions in Quebec.
