Job Description

Everick Heritage is seeking to expand its Sydney office  team to support the historic and indigenous heritage professionals in New South Wales. Since our inception in 2002, Everick has developed a strong client base and reputation for providing quality advice, excellent communication and ethical integrity. As a specialist heritage practice we offer a full range of historic and indigenous  heritage services to both the private and government sectors. 

We currently have many exciting projects underway and are anticipating strong growth over the next 5 years. As a dynamic consultancy with a strong culture of success, you will be joining a supportive team. We are looking to recruit enthusiastic, hardworking and experienced administrative assistant who has demonstrated advanced excel and word experience. 

This role can be part time role for three days per week or full time depending on the applicant.  Minimum hours required for part time will be  9am to 4 pm each day with 30 minutes for lunch.  Full time role would be a 40 hour week.

Requirements and List of Duties       

Supporting the Managing Principal, you will bring your energy and enthusiasm to a diverse range of duties including but not limited to:

  • Assisting in  proof reading of reports,
  • Organising documents in the company document management system;
  • Communicating on all levels (i.e., phone, email, face to face) with colleagues, clients, and project stakeholders;
  • Preparation of executive expense claims for the Managing Principal;
  • Follow up with staff on Clockify reports to ensure hours worked are correctly recorded for billing;
  • Assist with end of month billing and work under the direction of the Principal to collate all the invoicing information for work carried out by the Sydney Office professional staff.  Supply this information to accounts receivable so invoicing can be done on timely manner each month;
  • Work with the Field Staff /Logistics officer to coordinate airline and accommodation bookings for the Principal;
  • Assist Principal in preparation of budgets and tenders:
  • Monitor the budget for jobs as instructed by the Principal and advise the Principal  of any potential problems with the work carried out and the amount budgeted;
  • Maintain the records for the mileage of all company cars so that customers can be charged mileage as per agreements;
  • Upholding a strict level of confidentiality.
  • Advanced excel Spreadsheet experience essential;
  • Accounts payable experience an advantage;
  • MYOB data entry experience and advantage.
