Job Description

1.0Roster Management 

  • Create, publish and manage rosters through Emplive.
  • Allocate and assign staff to shifts ensuring all shifts are filled ensuring that industrial agreement, employment contracts, visa restrictions etc are taken into consideration. Backfill shifts as required.
  • Ensure the time and attendance system is updated daily with any changes and amendments to rosters.
  • Report incidences of non-compliance with employees start/finish times to the DON/DDON.
  • Liaise with, and obtain approval from the DON/DDON/relevant Manager on employee leave requests. Ensure leave documentation is followed up where required (i.e. medical certificates) and forward to payroll.
  • Liaise with DON/DDON/relevant Manager on timesheet submission and approvals in accordance with pay period timeframes.
  • Assist staff with timesheet, rostering and payroll queries and liaise with DON/DDON and Head Office for assistance as required.

2.0Recruitment and Onboarding 

  • Coordinate recruitment advertising requests of the local managers on site.
  • Collate candidate applications for hiring managers and maintain a central record of all applications.
  • Assist hiring managers in coordinating interviews.
  • Undertaking reference checks of preferred candidates.
  • Respond to unsuccessful candidates.
  • Complete Authority to Appoint Form and forward to HR/Payroll.
  • Lead the new employee onboarding process including:


 

 

POSITION RESPONSIBILITIES 

  • ordering uniforms, security tags, keys and name badges;
  • checking proof of ID and collecting signed copies of Statutory Declarations, visas, registrations and police clearances;
  • undertaking a site tour and meet and greet with new team members;
  • booking new employee into in mandatory fire training;
  • organise mandatory training such as manual handling, hand washing and eCase for Nurses etc;
  • ensuring required system log on and password access have been set up and advised;
  • providing new staff with the Staff Information Handbook and Induction Checklist; and
  • ensuring all online learning modules have been competed prior to day 1.

3.0Administration and Reporting 

  • Maintain site filing systems ensuring all employee documentation is also saved into employee files in FlareHR.
  • Coordinating staff training and maintaining training records as required.
  • Ensure all human resource processes and records are provided to the central HR/ Payroll team in a timely manner.
  • Assist with other documentation such as meeting minutes, reports etc as required.
  • Completed other ad-hoc administration tasks as required.
  • Reception/Concierge relief as required.

4.0People and performance 

  • Conduct work is in accordance with Aged Care Quality Standards and Principles, the Model of care and other Company policies and procedures at all times.
  • Actively participate in forums, training programs and education as directed by the company and ensure all mandatory training modules are completed in accordance with required timelines.
  • Provide informal education and on-the-job training as required.
  • Support the DON/DDON/Site Managers in coordinating probationary reviews and annual performance reviews. Ensure all completed reviews are forwarded to HR/Payroll for filing.
  • Dissemination of information to employees via the Company’s rostering system and text messaging system.
  • Notify HR of all employee resignations and set employee status in Flare to terminate.


 

 

POSITION RESPONSIBILITIES5.0Workplace, Health& Safety 

  • Conduct work in a safe manner ensuring the safety of self, residents, other staff, and the general public by strict adherence to infection control standards and WHS policies and procedures i.e. Manual Handling, PPE etc.
  • Return to Work Coordinator for the site. Work closely with Human Resources to manage workers compensation claims, including forwarding incident forms, certificates of capacity and other related documentation to Human Resources with minimal delay, developing RTW Plans in consultation with DON/DDON/relevant Manager and liaising with injured worker on a regular basis.
  • Identify and raise risk management and WHS issues on an on-going basis in relation to area of responsibility to ensure that incidents, maintenance issues, losses and breakages are reported in accordance with reporting procedures.
