About the role | He korero whakamarama mo tenei turanga

As the Receptionist/Administrator you provide valuable administrative support and complete reception duties for the business, working closely with the wider Service Delivery Team to ensure that quality and timely customer-centric service is provided to our customers and stakeholders.

To be successful in your role, a clear understanding is required of who our Customer is - including people we support, family/whanau, Support Workers, Funders and other internal and external stakeholders. In addition, you will need to have a clear understanding of other customers in the sector, including suppliers, service delivery partners, Iwi, Government and non-Government organisations.

Responsibilities:

  • Welcoming office visitors
  • Ensuring health and safety processes are followed
  • Facilitate and contribute to the development of all office systems, including IT and communication
  • Enter and code creditors' invoices and send for approval
  • Oversee administration functions including requests for travel, accommodation, conferences and training attendance
  • Ordering of stationery, general supplies and printing material
  • Prepare meeting rooms or book appropriate venues and catering if required

  • Experience in a support, administration or data-entry support role preferably within the health/disability or community services sectors
  • Experience with client management systems and/or CRM and ERP systems
  • A passion for working collaboratively and developing your skills and those of your colleagues
  • Excellent interpersonal, communication and influencing skills, and highly developed emotional intelligence
  • An understanding of the principles of the Treaty of Waitangi and how these can be applied
  • A love of problem-solving combined with resilience to cope with the unexpected or difficult
  • Excellent planning and organisational skills, and the ability to self-manage and work autonomously
