About the role

The Melbourne Receptionist role is a key to the AIG business being the first point of contact for our office visitors whilst also ensuring the office operates effectively and supports the needs of all our employees.  Quality customer service is key to the success of our business and positive experiences for our colleagues start at the front of office. 

 

This role works as an integral part of the Business Services team which includes the provision of reception services across our Australian business, including front of office servicing, taking incoming and overflow calls, mailroom and courier processing, support of facilities maintenance, event support and the sourcing of catering. 

 

The position is based in Docklands, Melbourne right next to Southern Cross Train Station.

 

What you will be doing:

Presenting a professional and positive company image to clients and colleagues as the first point of contact for customers, employees, vendors, suppliers, couriers, contractors, and the general public

Reception phone management which will include opening and closing the phonelines daily, diverting calls to the appropriate business line, and efficiently taking and delivering messages.

Developing effective relationships with all parts of the business

Updating the National staff directory and distributing to all staff monthly

Entering issues into the building services portal as required

Assisting with meeting set ups

Travel Management Company profile set up for new travellers

Assisting with office event planning and execution

Booking and assisting catering services

Managing visitors list

Providing backup reception to other locations as required

Processing Mail including the booking of courier services and mail runs

Processing corporate administration invoices for approval

Supporting the on boarding and offboarding of staff

 

What we are looking for

A professional, positive, and friendly attitude to work

A customer service and quality mindset with an appreciation of its importance

Prior experience in a similar professional customer service role, with prior experience in the financial services industry desirable

Ability to build and maintain excellent relationships with internal and external customers

Excellent communication skills both written and verbal

Excellent organisational and time management skills

A strong focus on attention to detail

Computer proficiency with intermediate word, excel and keyboard skills

Self-motivated, self- starter able to work alone

A flexible, adaptive, and agile mindset

A collaborative team member

An ability to learn quickly and apply learnings

An ability to remain calm under pressure and demonstrate good conflict management and resolutions skills
