Job Purpose

The Receptionist / Administrative Assistant is responsible for efficient reception and general administrative services at Longerenong College. They will work closely with the Senior Administrative Officer to provide high level administrative support to staff.

This includes dealing with clients, taking enquiries and directing them to appropriate staff, providing word processing and data entry services and receipting of payments. The Receptionist / Administrative Officer will also perform a range of finance tasks, other general office tasks and assist with student administration functions as requested. This is a maternity leave position.

Duties

  • Meet and greet all customers
  • Answer calls and direct them to the appropriate individuals.
  • Provide administrative support to the organisation as directed.
  • Assist with filing and record management.
  • Administer the College vehicle fleet including taking bookings, allocating vehicles and arranging servicing and repairs as required.
  • Administer the Bus QA system.
  • Administer the College key system including issuing keys, retrieving keys, arranging new keys and conducting stock takes.
  • Administer the stationery store including ordering new stock.
  • Administer staff printing and copying equipment
  • Contribute and update information on the College website as directed.
  • Ensure Quality Management System practices and guidelines are followed.

Requirements

  • Highly developed skills in customer service and reception duties.
  • Ability to multi-task, have flexibility and be able to work under pressure
  • Ability to work autonomously and within a team environment.
  • Ability to exercise initiative where required.
  • Demonstrated proficiency in Microsoft Office.
  • High level of interpersonal skills and communication
  • Comfort in learning and using software systems
  • Current driver's licence
  • Willingness to obtain a Working With Children Check and Police Check
