Job Description

Receptionist/Admin Assistant Responsibilities:

  • Greeting and welcoming patients upon arrival.
  • Ensuring that the waiting area and clinic remains in excellent condition at all times.
  • Ensuring the Covid Safe plan is followed at all times and reporting to Practice Manager any discrepancies.
  • Answering phone calls, responding to e-mails, scheduling appointments, and recalling patients.
  • Ensuring compliance and procedures are followed by all staff.
  • Ensuring the practice and staff are following the correct procedures for TAC, EPC & DVA patients and assisting with staff or patient queries.
  • Ensuring the Practitioners Calendars are booked efficiently.
  • Collecting and recording patients' personal and medical information.
  • Verifying payment methods, including patients' health insurance coverage.
  • Tracking and ordering inventory.
  • Preparing treatment rooms prior to appointments, as needed.
  • Monitoring the cleanliness and maintenance of the clinic and reporting any necessary improvements to the Practice Manager.
  • Assisting the Practice Manager with management of IT, claims systems, Marketing, Social Media, Expos, Staff training, Seminars, special projects, new systems implementation etc, 

Requirements:

  • Highly proficient in Microsoft Office, Excel and Client based systems (we use Pract Suite).
  • Holds general IT & Marketing skills.
  • Excellent verbal and written communication skills.
  • Strong interpersonal and organizational skills.
  • Well-groomed, professional appearance.
  • Able to work early morning, evenings and weekends, as needed.
  • Current Driver Licence, WWC check & Police Check
  • Able to work at short notice to assist on other shifts where needed.
  • 2 years' administrative experience, preferably within a healthcare or wellness setting.
  • Must have current Drivers Licence
