About the role

Primarily, you will provide professional administrative support to the General Manager NSW Projects and NSW Projects’ Managers in a timely, accurate and confidential manner to assist in the functioning of day to day operations for the Major Construction Projects unit. You will support the coordination and administration of projects to ensure their timely completion within the required specifications.

Some of your other responsibilities will include: 

  • Prepare and distribute correspondence, minutes, briefing notes, presentations and reports, including the NSW Projects’ Monthly Report as requested by and in consultation with the General Manager NSW Projects and NSW Projects’ Managers, ensuring accuracy and efficiency to assist in the delivery of information both internally and externally.
  • Purchase goods and services, including making travel and accommodation arrangements, as per ARTC policies and procedures. Arrange purchase orders as required. This includes supporting the General Managers’ direct reports in establishing purchase orders and contracts.
  • Process invoices for payment in ARTC’s financial accounting system to ensure timely and accurate payment.

The talent you’ll bring 

To be successful in this role, you will possess skills and experience in the following:

  

  • Demonstrated experience in providing customer service to internal and external customers.
  • Previous experience in a similar role within medium to large organisations.
  • Extensive proficiency and experience with Microsoft Office applications and advanced typing/keyboard skills.
  • Demonstrated advanced verbal and written communication skills, including previous experience in the preparation of correspondence and presentations on behalf of a General Manager.
  • Ability to work with limited supervision and make independent decisions when necessary.
  • Demonstrated ability to use judgement and discretion when dealing with enquiries and disseminating information.
  • Demonstrated ability to prioritise and manage multiple tasks simultaneously.

Desirable Selection Criteria:

  • Certificate/Diploma in Administration or related.
