The Role 

This is a critical senior manufacturing support role, which will work across the business, to ensure the accurate creation and processing of sales orders throughout the manufacturing process. 

This is a process improvement role,  and we need someone who is incredibly organized, process driven and attentive to capturing information, to ensure that the manufacturing documentation matches the order and the client brief, resulting in greater efficiency in production, increased quality and positive client outcomes.

This opportunity will suit an experienced manufacturing sales administrator, who is looking for a company, who will invest in their training and development and allow them to carve out a career in supporting this great business.

The Role more specifically: 

 We are keen for the new team member to start  reviewing processes, right form the  initial client brief, through to  production.

Sales Order Processing & Client Service

  • Review all sales orders to ensure their accuracy and necessary detail is recorded.
  • Trouble shoot any order issues, ensuring documentation in MRP is updated with any changes
  • Ensuring completed jobs are invoiced post-dispatch
  • Communicate with customers, when necessary, throughout the process

MRP/ERP/CRM Management

  • Implementing and maintaining procedures/office administrative systems in MRP
  • Ensure new codes are generated in uniformity
  • Ensure that the MRP and ERP software are always up to date, creating real time pure data
  • Following CRM information to ensure data is captured for invoicing or cost adjustments.
  • Continually learning the systems and training others

Production Administration

  • Be aware of updates and changes in production planning and costs.
  • Raising either remedials, or invoices to customers for changes
  • Prompt department managers for job completion
  • Improve, update and implement new procedures when required
  • Update, create new processes in the MRP/excel spreadsheets

Costing and Invoice review 

  • Review final costs vs estimated costs, at end of job
  • Create sales orders or remedials if needed to allocate variation costs
  • Send or check that final invoices have been sent to customers
  • Prepare, analyse and report monthly gross margin analysis, on manufactured items.
  • Assist management in investigation where variations may have occurred

General administration and Reporting

  • Support sales staff in project pricing
  • Assist directors when required
  • Support office staff in completing their tasks
  • Provide reports as required to the management team.
  • Provide report on product issues and stock outs
  • Create inventory reports; Stock levels/reorder prompts/clearance items

ABOUT YOU:

  • Previous experience in inventory or manufacturing sales support, and administration
  • Strong time management skills. Ability to prioritize & manage a busy workload
  • A multi-tasker: Ability to handle multiple projects while maintaining accuracy, detail, and timeliness.
  • Must be organised and have a high attention to detail
  • Technology adept. Any experience using Sage Evolution would be amazing
  • Strong MS Office skills, especially Excel spread-sheeting
  • Strong numerical ability.
  • A strong sense of quality control.
  • Responsibly manage all business resources within accountability levels
  • Effective communication across the business
  • Be a role model to Administration and Customer Service teams
