Qualifications & experience
- High level administrative skills and experience in providing support and assistance to management
- Demonstrated proficiency in using MS Office applications (Word, Excel, PowerPoint, Outlook).
- Demonstrated ability to establish rapport and collaborate effectively with clients, their families and/or groups from a strength-based culturally appropriate perspective to achieve positive outcomes.
- Ability to use initiative and to work both individually in supporting clients and as part of a team.
- •Established problem solving and conflict management skills.
- Strong written and computer skills for the creation of plans, programs, reports, correspondence, and other documents.
- Planning and organising abilities to ensure tasks are completed within the required deadlines and in accordance with all relevant policies and procedures
- Communication skills as demonstrated through the ability to listen, understand, and speak clearly to a wide range of audiences. Written skills with the ability to summarize information and data
Tasks & responsibilities
- Provide administrative assistance in the delivery of intake services
- Create, update, and maintain registers with sensitive client information in line with organisational policies and procedures
- Maintain client records utilising electronic and physical file recording and management systems in accordance with departmental procedure and privacy requirements
- Monitor and action diary and calendar systems relevant to client NDIS plans and reviews
- Performs ad hoc duties consistent with the responsibilities of the role as directed by the line manager or their delegate
- Provide information to internal and external clients regarding office services and procedures to promote quality customer service through reception (telephone and counter enquiries), email and other forums.
- Provide a sound knowledge in a range of software packages and databases in the administration of services provided by the organization.
- Work collaboratively with team members and understand the roles and responsibilities within the organization to deliver efficient services.
- Use, update and monitor relevant databases and files in line with policies and guidelines to ensure accuracy of data
- Develop and maintain professional and collaborative relationships and communicate with internal and external stakeholders to achieve positive outcomes
