Job Description

The Azure Core OSS Cloud Native Team is seeking an experienced, energetic, and highly motivated Executive Business Administrator to join our amazing organization and team.  This role directly supports the CVP of Azure OSS Cloud Native and their dynamic leadership and admin teams.  

 

In this highly visible role, you will operate in a variety of capacities, working with a senior team of professionals demonstrating excellence in administrative functions. The environment is fast paced with a dynamically changing workload, requiring strong planning, operational, and time management skills. 

 

Ideal candidate will be flexible, possess the ability to work independently, navigate new challenges with confidence, and adjust direction in response to shifting priorities with a calm sense of urgency. This position requires a strong attention to detail and a passion around making organizations better through initiative, collaboration, and commitment in an often-ambiguous environment.  Must uphold the highest level of integrity, business professionalism and deal with highly sensitive data with absolute confidentiality.

Responsibilities

Responsibilities include but are not limited to:  

  •  Manage and prioritize the complex CVP calendar with strong attention to accuracy, timeliness, conflict resolution, and alignment to priorities and commitments.
  • Ability to look ahead and understand the prioritization of key objectives and help manage and track deliverables.
  • Partner with Azure Core Exec Office Customer Engagement Manager to ensure alignment and timely scheduling and preparation around external customer engagements.
  • Lead administrative team spanning USA, IDC, Sanghai and Europe, ensuring alignment on processes and procedures for team organizational support. Oversee execution of hiring and workload balance.
  • Manage domestic and international travel logistics for CVP with utmost accuracy and attention to detail and expense reconciliation.
  • Coordinate team morale events and/or broader team-wide events in collaboration with the admin team.
  • Act as interim approver on team expense reports for the CVP’s LT, ensuring coding accuracy and in a timely manner.
  • Oversee execution of full hiring cycle including PCN management, REQ execution and tracking.
  • Partner with Azure Core Space Planner to coordinate space planning and office moves.

 

Qualifications

Required Qualifications:

  • 4+ years of experience supporting a senior level executive in a fast paced and complex environment, understanding the executive’s needs, and making appropriate decisions and requests on behalf of the executive
  • 2+ years of experience managing an administrative team
  • Must maintain confidentiality of highly sensitive material and information with discretion and professionalism
  • Proficiency with Microsoft productivity tools including Outlook, Excel, Word, Teams, and advanced knowledge of internal Microsoft systems such as HeadTrax, Employee Central, HRInsights, iCIMS and MS Expense

  • Experience supporting a global team
  • Excellent skills in all aspects of planning, collaboration, analytical capabilities, and high level of attention to detail and proactive awareness
  • Demonstrated skill of shifting approach in response to the demands of a changing situation
  • Ability to deal with ambiguity, navigate uncertain situations, and drive for clarity
  • Maintain the confidentiality of highly sensitive material with tact and professionalism   
  • Highly effective communication ability both written and verbal
  • Ability to react with appropriate urgency to situations and requests
  • Ability to build, and maintain, effective working relationships with a diverse group of contributors at all levels both internally and externally
