Job Description
We are seeking a highly motivated, organised and punctual Executive assistant and company secretary to assist our Managing Director and office clerical work.
Our business is a growing property development and building company which operates in NSW and QLD with our head office in Yennora.
The role requires this individual to work on multiple different tasks each day. No only is this person responsible for mundane office tasks such as managing car registrations and ordering office supplies but also sit in with our managing director and workshop potential development sites. These are just some of the tasks the successful candidate will do.

Duties include but are not limited to:
- Provide comprehensive support to the Managing Director.
- Comprehensive email and diary management.
- Screening telephone calls and fielding enquiries and requests.
- Bookkeeping tasks including use of MYOB accounting software.
- Office management – including coordination of workflow to Managing Director and Senior Staff.
- Transcription and management of correspondence.
- Travel coordination.
- Management of timesheets, billing, and invoicing.
- Preparation and circulation of newsletters & EDMs.
- General administrative duties including but not limited to, electronic filing, Record keeping and Database entry.
- Conduct property research and assist with the preparation of any required documents.
- Maintain company vehicle registrations, tolls, and insurances.
- Distribute phone calls throughout the office.
Systems:
- Microsoft Suite of products – Outlook, Word, Excel, PowerPoint, Teams, SharePoint/OneDrive.
- MYOB.
- Property Tree.
Ideal Candidate:
- Min 5 yrs. Private Assistant – EA + Secretarial.
- Flexible, willing to do what it takes to get the job done; adaptable and enjoys a challenge
- Strong time-management skills and the ability to organise and coordinate multiple projects at once
- Proficiency in Microsoft Office,
- Presentable, meticulous, and resourceful.
- Ability to manage and schedule any matters.
