An exciting opportunity currently exists for an Executive and Administration Assistant to join our Regional IT team based in Rhodes, Sydney. This role will provide administrative, EA coordination support to the Regional IT Hub Manager and administration to all employees of the Regional Hub.

 

A day in the life…

Reporting to the Regional IT Hub Manager, key responsibilities of the role include:

  • Provide general administrative support to Regional IT Hub Manager and Leadership team (LT) members. 
  • Prepare high quality presentations and business documents.
  • Organise and support workshops, conferences, onsite/offsite meetings as required. 
  • Process monthly expenses for Regional Manager IT Hub and support LT as needed. 
  • Be the IT HUB champion of Travel & Expenses.
  • Timely processing of Trips/Expense Reports in SAP Concur in line with policy.
  • Management of mobile phones, headsets, including providing a monthly mobile bill to ensure costs are being monitored.
  • Review and follow up of employee onboarding and exit checklists including IT equipment, Company credit card (as required).
  • Act as Oceania Wellbeing and SHE Champion, managing Monthly reporting, HSE initiatives, weekly tips and facilities.
  • Communicate and coach staff on IT tools and process (WF360, Finance, HR etc).

 

What will make you successful

  • Joining a collaborative team of Specialists, you will have a proven track record of taking ownership and successfully delivering results in a fast-paced and dynamic environment.
  • 4+ years Administration and coordination experience.
  • Experience working for a large organisation, preferably an international firm operating across multiple time zones.
  • Intermediate to advanced level for office Technology tools including Microsoft suite, collaboration tools, social media tools etc.
  • Strong communication skills, verbal and written and organisational skills.
  • Have the ability to multi-task and work independently.
  • You will be a strong, interactive, and collaborative team player.
  • Be a trusted point of contact, ensuring discretion and confidentiality at all times.
  • Ability to build and maintain relationships with internal and external stakeholders

Applicants must be eligible to work in Australia and have Permanent Residency.
