Job Description

St Francis Xavier College is a Catholic College with a 2021 enrolment of over 3300 students, which will continue to grow in 2022.

The College serves families from the parishes of Berwick, Koo Wee Rup, Maryknoll/Iona, Narre Warren and Pakenham under the governance of Diocese of Sale Catholic Education Limited (DOSCEL).

St Francis Xavier College is easily accessed via several major freeways – only 20 minutes on the M1 from Springvale Road.

We are currently seeking a COVID Administration Officer with excellent administration skills to join our team at the Beaconsfield campus.

The successful candidate will be employed on a full-time fixed-term contract for Semester 1.

Key responsibilities include:

  • Manage the College’s covid19@ emails and discern appropriate response management as per College procedures
  • Maintain up to date procedures in response to changing compliance requirements (e.g. as government restrictions and requirements change)
  • Manage databases – recording and retrieval of data
  • Establish and maintain filing systems
  • Collation of daily and weekly reports relating to COVID-19 cases, COVID-19 close contacts, etc
  • Provide regular and clear communication to College Campuses about staff and student absences, illness and return
  • Manage urgent communications to support (in time) College Campus responses
  • Provide liaison support with staff, parents and students as necessary, including phone and email communications
  • Contribute to the distribution of COVID-19 related physical resources to campuses
  • General office duties as required
  • Other duties as directed by the Principal or Executive Team

  • Excellent time management skills
  • Strong computer skills with the ability to use a variety of software programs
  • Familiarity with MS Suite, particularly Excel
  • Ability to analyse and interpret data
  • Clear and effective communication skills, both written and verbal
  • Strong attention to detail and ability to provide accurate data
  • Ability to work autonomously as well as part of a team
  • Can demonstrate high levels of discretion and professional judgement
  • Can maintain a high level of confidentiality
  • Organised with the ability to manage competing priorities and meet deadlines
  • Interpersonal skills to relate professionally with students, parents and staff
  • Commitment to occupational health and safety
  • Understand and follow relevant College policy and government legislation, e.g. Privacy Policy
  • An understanding of and commitment to Catholic education

Staff are employed under the Victorian Catholic Education Multi Enterprise Agreement 2018. This position is classified as Category C, Level 2 position.

The successful applicant will also be required to undergo a Working with Children Check and National Police Check prior to commencement.
