Job Description

Responsibilities:

  • Heavy scheduling, across various time zones

  • Research, update and maintain trade and business event calendars

  • Develop familiarity with projects, producers and key stakeholders across DBT

  • Maintain and organize database of business contacts

  • Work closely with internal groups to manage logistics.

  • Update and maintain heavy phone sheet

  • Collaborate with all personal of the DBT Office of the President to coordinate and execute timely tasks as they arise.

  • Attend staff meetings and document agenda and action items

  • Collaborate with employees for information, research, administrative materials, etc.

  • Heavy correspondence with internal and external contacts

  • Process expense reports

  • Handle unsolicited material and inquiries

  • Hospitality and event coordination

  • Management of special projects as required

  • Booking/coordination of heavy local, national, and international travel

Basic Qualifications:

  • 2+ years of administrative experience, preferably at an executive level

  • Strong ability to handle heavy scheduling across multiple departments and time zones, along with strong phone etiquette

  • Exceptional ability to create professional presentations in Keynote, including video clips

  • Experience booking both international and domestic travel arrangements

  • Strong people and organizational skills

  • Proven ability to problem solve, prioritize, multi-task, and preemptively foresee potential conflicts.

  • Strong written and verbal communication skills

  • Proven adaptive team player

  • Proficient computer skills

  • Word/Excel/Outlook/PowerPoint

  • Keynote/Final Cut Pro

Preferred Qualifications:

  • Proficient in MAC

Required Education:

  • Bachelor’s degree or equivalent combination of work experience
