The Coordinator (New Issues Desk) provides consulting and specialized support and service to our clients in the closing and settlement of 3rd party investment products, specifically New Issues and Private Placements being brought to the market. The Coordinator provides direct support to the NBIN client firms related to the processing and completion of these New Issues and Private Placements as well as acting as an intermediary between all other NBIN operations departments related to these functions. This position requires an in-depth knowledge of industry operations due to its multi-faceted involvement in new issue and private securities settlement process.
Proven ability to communicate clearly and professionally is essential to this role as interactions with our institutional clients, brokers/dealers and industry-adjacent personnel is to be expected frequently. As a member of a small team, the ideal candidate will occupy a significant presence within the group and proactive contribution to the success of the group is expected.
In addition, as a member of the trading support team, the coordinator will also be expected to assist with a variety of post-trade tasks when called upon. These include trade booking, allocations, FX booking, trade matching and settlements as well as reconciliation.
Job Specifications
The incumbent candidate will be expected to:
- Assist the NBIN Member firms’ Syndication and Corporate Finance departments create and maintain all procedures surrounding New Issues and Private Placements
- Receive and review offering documents for regulatory and settlement issues to be resolved
- Alert senior management to issues that may negatively impact client relationships or expose the firm to unreasonable risk
- Work with Financial Markets Compliance to process non-brokered purchases outside normal market conditions
- Provide assistance with trade contracting
- On rare occasions, represent NBIN and our member firm at closings (or arrange for such representation in other operation centers)
- Arrange for settlement of DAP and COD transactions
- Act as a general information resource for the handling of transactions outside the normal stream of business
- Deliver exceptional client experience by providing accurate, timely and consistent answers to inquiries in varying degrees of complexity; take ownership of client issues from end to end and conduct issues escalation when deemed necessary
- Proactively identify trends in client activities; document exception procedures and make suggestions aimed at process improvement
- Assist internal partners with trade operations and settlement related inquiries; Answer questions and provide commentary to help resolve issues that sometimes have broader impacts
- Some overtime will be expected around peak volume seasons
Knowledge:
- Undergraduate degree in relevant fields (business/commerce, finance/economics, accounting etc.) or equivalent work experience
- 3 to 5 years of financial market or wealth management experience in client facing and /or operations roles
- Working knowledge of on and off-exchange securities products
- Strong awareness of security industry’s regulatory and risk environment
- Knowledge or experience in IBM OSS (ISM) would be a definite asset
- Successful completion or willingness to enroll in CSC, CPH and DFOL is desirable
Skills:
- Ability to communicate effectively with clients and colleagues, often in high-pressure and fast-paced environment
- Exceptional attention to detail
- Strong ability to work in a team-oriented environment
- Ability to read, write and speak French is an asset
- Intermediate to advanced knowledge in MS Excel
- Working knowledge in VBA, Access and SQL a strong plus
