About the role/ Position Purpose

This role sits within the Pro Vice Chancellor, Student Experience portfolio which includes Student Success, Indigenous Education, Chaplaincy, Libraries, Student Life and Wellness.

The Chaplaincy is guided in its role and activities by Ex Corde Ecclesiae. In particular, it is guided by those sections which pertain to Pastoral Ministry within a Catholic university – sections 38-49, and Article 6, § 1 & 2.

As a member of the chaplaincy team the position provides administrative support and advice on pastoral care and events, ensuring ministerial services are available to students and staff.

Key Responsibilities

1. Providing administrative support to the Chaplaincy including hospitality and collection of monies for various activities and events;
2. Assisting with liturgical preparation and community events, including the provision and planning of student activities and engagement opportunities;
3. Coordinating with a central events team to effectively manage the diary for Chaplaincy events and pastoral visits for new staff;
4. Providing comprehensive administrative support to the office, including responding to general enquiries.
5. Work closely with the National Director, Chaplaincy and Faith Formation and other departments to arrange and deliver various programs and events including Christian study programs, speakers, spiritual formation, retreats, pilgrimages, service opportunities and liturgies.
6. Administering and maintaining accurate records of office budgets and purchasing activity;
7. Coordinating the maintenance of the Chaplaincy website, notice boards, promotional publications and resources;
8. Other duties as identified by National Director, Chaplaincy and Faith Formation. This role may also provide administrative support to various stipend positions.
9. Comply with University policies and procedures in all aspects of their work and conduct

Selection Criteria

1. Completion of a diploma qualification with relevant work related experience and/or working towards the completion of a tertiary qualification with a combination of work experience.
2. Demonstrated ability to undertake administrative duties and an ability to follow and interpret policies, procedures and standards to achieve business objectives.
3. Ability to work effectively within a team and under general direction by displaying initiative and reliability to adapt to changing work flows in a team environment.
4. Demonstrated ability to apply high level interpersonal, customer service and communication skills (both oral and written), including an ability to respond to enquiries and build successful relationships with stakeholders.
5. Effective time management and organisational skills with a demonstrated ability to respond to changing priorities, solve problems, meet deadlines and manage multiple tasks whilst working as a member of a team to achieve common goals.
6. Demonstrated ability to work in collaboration with various stakeholders for the development and implementation of various sacramental opportunities and Prayer services; including networking with external Catholic agencies.
