The Enterprise and Cloud organization is seeking an experienced Business Administrator to provide support to our team. The Enterprise and Cloud (E+C) team extends the reach of Office 365 to new geographies, government customers with unique requirements, and customers with specific regulatory and compliance requirements.
The ideal candidate is someone who can navigate and change directions quickly within a fast-paced environment and can embrace a challenge head on with confidence, a calm sense of urgency, and a positive attitude, along with a professional demeanor, and a desire to remove barriers to ensure success. Additional attributes needed for this role are high detail-orientation, ability to successfully multi-task, and provide consistent and timely follow-through. As well as demonstrate integrity and the ability to handle confidential information appropriately.
A successful candidate will have demonstrated work experience in a fast-paced environment, the ability to design and deliver against a plan, manage time to ensure deadlines are met, prioritize deliverables of multiple projects within a dynamically changing workload. Additionally, demonstrate strong communications skills in a global environment and work collaboratively with teams from various disciplines.
Responsibilities
Key Responsibilities:
Centralized group management—ensure the success of the greater centralized administration and support team by contributing to the delivery of shared goals and objectives; including but not limited to large group events, space and resource management, headcount management, cultural and morale activities, and special projects.
• Manage projects with varying complexities
• Manage procurement of supplies and equipment
• Plan office space, including office moves, in collaboration with Real estate and Facilities and partnering organizations
• Track asset, ensuring hardware lists are up to date and accurate
• Assist in M365 Core wide events
Enterprise and Cloud group management—enable the efficient and organized daily operations of E+C by providing focused group administration and leadership support. In addition to, supporting the success of our business management function by assisting in tactical and logistical delivery of program objectives.
• Calendaring for General Manager/Director level
• Demonstrate exceptional customer service and team support
• Set up vendor staff
• Coordinate new hire onboarding and employee departures
• Manage headcount in partnership with Business Management
• Manage discretionary budget and reconciliation in partnership with Business Management and Finance
• Act as point of contact for all group administrative needs
• Plan and coordinate team and morale events
Administration and support community—connect and collaborate with the administration and support community to share best practices, ideas, and thought leadership to drive standardized, equitable, and efficient processes to benefit the greater organization.
• Partner closely with other admins in Enterprise and Cloud and M365 Core to achieve shared goals
• Attend the annual Microsoft Admin conference and other trainings as needed
Qualifications
• 2+ years demonstrated administrative experience in a fast-paced environment
• Strong verbal and written communication skills
• Knowledge of corporate organization and culture and ability to navigate it successfully
• Strong attention to detail-oriented with strong problem-solving and troubleshooting skills
• Strong cross-team collaboration & organizational skills
• Ability to be flexible and work quickly and efficiently
• Ability to react with appropriate urgency to situations and requests
• Maintain confidentiality and use discretion and judgment at all times
• Exercise sound judgment, tact, diplomacy, integrity, and professionalism in all communications
• Proficiency with Microsoft products including Outlook, Visio, Word, Excel, and PowerPoint. Knowledge of Microsoft internal tools such as Headtrax, Employee Central, MSS & MyOrder is a plus, but not required
• Ability to lift up to 20 pounds
