Job Description

As the Executive Business Administrator, you will be the front-line representative of the office of the Americas Customer Transformation Leader. This position requires excellence in administrative and operational functions. The ideal candidate must be able to maintain a confident focused persona, accommodate different work styles, demonstrate sound and consistent judgment, make timely decisions in relatively complex situations, and set priorities among multiple projects.  Being detail-oriented and having consistent and timely follow-through will be essential to success in this role.  If you are eager to strengthen your capabilities in a dynamic, fast-paced environment, this job is for you!

Responsibilities

RESPONSIBILITIES

 What you will be doing:

  • Complex executive calendar management including strategic time prioritization.
  • Manage domestic and international travel scheduling end-to-end including the proactive anticipation of logistics and itineraries.
  • Partner with the Business Management team to effectively manage team operations.
  • Key driver of the annual ROB scheduling and team calendar including all-hands-, large- and small-scale off-site meetings, and team morale events.
  • Alias management; processing and approving expense reports; new hire onboarding; procurement of goods and services.
  • Thorough understanding of the team budget, including auditing and completing purchase orders and expenses.
  • Ensure compliance with administrative operations policies and procedures.
  • Create/enhance team culture within and across teams and pro-actively participate as a member of the leadership team.

Qualifications

QUALIFICATIONS

 What we are looking for:

  • Minimum 8+ years of demonstrated work experience supporting leaders in a fast-paced environment
  • Strong planning, organizational, time management and problem-solving skills.
  • Maintain the confidentiality of highly sensitive material with tact and professionalism.   
  • Highly effective communication ability both written and verbal.
  • Ability to react with appropriate urgency to situations and requests.
  • Experience in dealing with external customers.
  • Strong cross-team collaboration and organizational skills.
  • Ability to build effective cross-group working relationships and work collaboratively with people at all levels of the organization.

 Preferred Qualifications:

  • Proficiency with Microsoft productivity software including Outlook, all Office Suite programs, SharePoint, One Note, Teams, etc.
  • Excellent skills in all aspects of planning, collaboration, analytical capabilities, and high level of attention to detail and proactive awareness.
  • Demonstrated skill of shifting approach in response to the demands of a changing situation.
  • Ability to deal with ambiguity, navigate uncertain situations, and drive for clarity.
