About the role
The Position
As our Melbourne operations expand there has become an opportunity for an administrator to join our business to assist our operations team.
Main Duties Include
- Maintain effective relationships and partnerships with all cliental.
- Provide effective administration support to all clients, internal/external teams, and key stakeholders.
- Liaise with with management for administration issues or concerns.
- Maintain and ensure all job-related documentation is created and upload to all relevant portals.
- Prepare and provide documentation to internal/external teams and key stakeholders.
- Assist in collation of data and development of reports.
- Assist, Order and maintain Project & Depot Supply levels following Procurement Procedure – PPE, uniforms, office & amenities consumables, tools & associated equipment.
- Assist, schedule and manage required meetings, taking notes and meetings minutes.
- Ordering/buying uniforms, stationery, office supplies and staff amenities.
- Scheduling and ordering requirements for Servicing, Repairs, COI, and Breakdown issues in consultation with Operations Coordinator and Assignar notifications.
- Maintain service and maintenance registers, documents and reports required in the Integrated Management System. Records to be kept current, up to date and filed in applicable locations.
- Check, file, liaise and manage legwork required for Job Dockets & Timesheet submission for approval.
- Monitor and ensure all work is performed in accordance with requirements of the Health and Safety legislation, policies and procedures.
- Ensure training is provided for staff relating to emergency, evacuation procedures and best work practices.
- Ensure all incident reporting documentation is submitted relevant Managers prior to end of shift.
- Promote and facilitate individual and team performance improvements.
- Commitment to ongoing learning and performance improvement.
- Participate in personal professional development, ensuring skills and knowledge are current practices.
- Ensure appropriate qualifications are maintained.
Skills and experience
The Person
The successful applicant will preferably have:
- A minimum of 3 years' experience in similar administrative roles.
- Excellent written & verbal communication skills across all levels.
- Knowledge of Human Resources and Workplace Health and Safety regulations.
- Experience in contributing to projects;
- Intermediate to advanced level of understanding of office-based software such as Outlook, Word, Excel & PowerPoint.
- Demonstrated organisational skills and time management, including the ability to prioritise deadlines and work as part of a team.
You will be a hands-on person, who doesn't mind completing a variety of tasks in order to support the business as it continues to grow.
