Title: Administrative Coordinator, Bell Media

The incumbent is responsible for ensuring the application of the company's administrative procedures according to the practices and deadlines in force and for ensuring the daily monitoring of short-term schedules. He assists the senior production and administration manager & the media administration manager in various administrative tasks, taking into account the policies of the information department.
Having to deal with privileged information, the holder is bound by the confidentiality of information and data.
Main Responsibilities:
Ensure the management of short-term schedules (daily)
Make travel reservations and update profiles of travelers from the information department
Codify, verify, correct and enter expense accounts in IVALUA for people in the information department
Perform and maintain workstations for the room and teleworking
Actively participate in daily production meetings
Ensure the update of our tables for the follow-up of overtime & reports and the costs of the various programs
Be on standby every other weekend and on public holidays for production schedule changes
Ensure follow-up for contracts and payroll coordination in replacement of the other administrative coordinator (renewal, registration for HR, etc.)
Ensure a follow-up for the department's cell phone and dejero file
Provide clerical support (purchase of supplies, paper, etc.)
Other related tasks
Knowledge and skills:
Hold a college diploma in administration or equivalent
Demonstrate autonomy, thoroughness and reliability
Have excellent interpersonal skills
Ability to work under pressure to make staff schedule changes and to meet deadlines.
Have a sense of organization
Good communication and team spirit
Have the required computer skills (Word, Excel, Mediapulse, SAP)
Flexibility in schedules (evening and weekend work as needed)
Have sufficient knowledge of various sports (an asset)
Being bilingual
Possess skills in personnel management and administration
Bilingualism is required; adequate knowledge of French is required for positions in Quebec.
