Te āhua o Te Tūrunga - The nature of the position

The objective of this position is to provide efficient administrative support to the Kaitohutohu-a-Iwi and Kāhui Mauaka - the Māori Responsiveness Team. This team provides strategic advice, cultural support, and guidance to Hato Hone - St John, enabling the delivery of the organisational Te Ara Hato Hone Māori Strategy, which aligns with the St John integrated business plan.

This newly created position facilitates the efficient and effective functioning of administrative tasks, which support the day-to-day running of the team. Monitoring incoming correspondence and providing effective diary management, prioritising meeting requests, and prompting key dates and tasks that require attention. Duties like co-ordinating travel requests, preparing; drafting, and compiling reports, correspondence, communications, and presentations will all be part of this multifaceted positions remit.

There’s always something different happening and the energy is always high within the team, so the ideal person for the position will take real joy from supporting others and enabling them to deliver. Maintaining the team database, and supporting individuals as well as the team, you will have the skill set, and experience to anticipate needs, and be able to prioritise urgent requests and time critical pieces of work. It is often reactive, so you must be comfortable juggling multiple tasks, so this will suit an individual who possesses the skill base to navigate such an environment and workload.

Demonstrating a real sense of ownership and responsibility, as well as refined and articulate communication skills, you’ll provide support across differing projects, drawing on your past experience and your continuous improvement mindset.

You will possess the skill set and capability to develop systems and processes, as well as the ability to support staff with developing presentations, and assisting with technical troubleshooting as required. You will be using a variety of packages, spreadsheets, databases, and presentation software in your role, and will have a real level of comfort in supporting others who may not have an advanced skill set, or technical ability. You will be the approachable ‘go to’ person - the person that knows ‘how to’ and is able to jump into action to provide support.

Ngā tino Pūkenga/Wheako - Essential skills/experiences for the role

Experience working in the health sector would be beneficial, but not a prerequisite.

Skills and experience required to thrive in this position are to include;

  • Sound administration experience and computer literacy: Intermediate to advanced Microsoft Office skills in Word, Excel, and PowerPoint.
  • Good understanding of te reo me ōna tikanga (or be on a journey to learn) and the application of Te Tiriti ō Waitangi within the work environment.
  • Past experience in preparing reports, taking minutes and knowledge of administrative systems and processes.
  • Experience working to deadlines, showing agility and resilience under pressure.
  • Be self-managing and motivated, with high levels of energy, innovation, and creativity.
  • Excellent communication skills, both verbal and written.
  • Ability to work as part of a team and unsupervised as required.
  • Strong relationship building skills, with the ability to operate effectively with a high level of diplomacy and confidentiality.
