What is the opportunity?
RBC Group Advantage is looking to hire an Administrative Assistant to one of the fastest growing businesses at RBC. As an administrative assistant, you will be tasked with providing effective and efficient administrative support services to Group Advantage VP’s for both the Atlantic and Quebec markets.and their respective direct reports in their day-to-day responsibilities. This will include, but not limited to, travel reservations, assistance with frequent conference and meeting bookings, expense management, HR form completion and submissions and any administrative issues. The incumbent will also act as back up to the corresponding national administrative assistant.
What will you do?
Manage the VP’s and their direct report’s calendar demand and coordinate with key partners as required; proactively provide VPs with required meeting documentation and logistics for meetings; as well keep VPs and their direct reports on schedule
Proactively manage complex travel arrangements/itineraries; ensure seamless travel and efficient use of budgeting and resources
Coordinate regional and National Office conferences and make arrangements with various locations (e.g. room arrangements, attendance, invitations, order supplies, audio visual and electronic equipment, catering needs etc.) and provide post-event support as needed
Responsible for Agendas for all meetings and their distributions as per GA VP’s instructions
Manage VP and team’s absence approvals and records
Ensure business expenses/invoices and bills are promptly prepared, recorded and submitted for timely approval
Coordinate arrangements for employee changes and onboarding plans for new hires, including equipment and premises requirements and ensuring adherence to policies and procedures
Coordinate Market Visits/Observational Coaching for Launches, Advice Events, Bank @ Work, Annual Review
Assist in collecting and distributing a series of reports on various data measures to respective internal partners
Perform a variety of sundry administrative duties, which may include, but not limited to: photocopying, scanning, facsimile and other office support
Cross-train within peer group to serve as back-up in areas of coverage needs
What do you need to succeed?
Must-have
High school diploma, College preferred
3-5 years of administrative or other relevant experience/transferable skills in a financial/brokerage environment. Exceptional attention to detail with the ability to prioritize tasks and improve efficiencies
Experience working in a professional services setting (preferably within a corporate environment)
Professional demeanor; ability to handle confidential information with discretion
Excellent written, grammatical and oral communication skills with high level of proficiency with Microsoft Office suite, including Outlook, Word, Excel, and PowerPoint
Strong organizational skills and the ability to multitask and perform under deadline pressures
Ability to work independently and within a team environment
Must be bilingual (French/English)
Nice-to-have
Marketing experience leveraging social media
Knowledge of additional Microsoft tools and applications (Visio, OneNote etc.)
