Administration Officer

  • Fantastic opportunity for an experienced administrator to support our scheduling & warehouse team.
  • You will be working with other high performing team members to deliver a totally dependable service experience to our customers in and around the Brisbane, Toowoomba, Gold Coast, Sunshine Coast and Hervey Bay region.  
  • A varied roll that may also require minimum warehouse duties to assist with deliveries and having equipment ready for the installation team.

This position will have responsibility for the following:

  • Personal assistant to the scheduler
  • Ordering stock to warehouse & Job sites
  • Communication with clients through email and phone
  • Efficiently schedule new projects
  • Re-schedule existing and ongoing projects
  • Daily management of projects using our AroFlo software (full training provided) 
  • Acquire knowledge to read builders plans and calculate measurements
  • Liaising with supervisors around issues on site
  • Communication with service technicians
  • Support technicians to ensure they are meeting company standards
  • Manage standard job workflow
  • Provide administrative assistance to key internal staff and management
  • Acquire and apply a minimum working knowledge of air conditioning installation & operation
  • General admin functions
  • Assist in our Warehouse in stock arrival and having equipment ready for the installation team
  • You may be required to travel to and work from other branches as part of your training and/or to provide administration support or backfill administration roles during approved leave periods

  • Proven ability to work without supervision, with a high level of initiative and problem solving skills and effective management of changing workloads
  • A professional phone manner with excellent communication skills
  • Ability to be on top of large numbers of projects
  • Be highly organised with excellent time management skills
  • Thorough attention to detail & ability to multi-task
  • Ability to work as a team player & a positive supportive approach
  • Ability to pick up new skills quickly and maintain accurate information
  • Intermediate computer skills which includes using the Windows package

This role is an important part of the business ensuring all service and project work are actioned promptly, prepared accurately and customers are overwhelmed with a positive and professional customer service experience.
