THE ROLE

Exciting opportunity for an experienced Administration Officer with HR experience.

As a successful Administrative & HR Officer, you will act as the point of contact for all employees and external partners for HR- related and administrative queries. Your main administrative duties include answering phones, managing office stock, preparing regular reports, organising company records, maintaining & managing HR documents (e.g., employment records and onboarding guides) and updating internal databases. Our ideal candidate has experience with HR procedures and can juggle various administrative tasks in a timely manner.

Offering a work / life balance of 08:00am till 4:00pm, Monday to Friday.

Reporting to the Head of Operations & Governance

KEY RESPONSIBILITIES: including but not limited to:-

  • Manage office supplies stock and place orders
  • Assist in the preparation of regular reports
  • Maintain and update company databases
  • Organise a filing system for important and confidential company documents
  • Answer HR queries by employees and stakeholders
  • Update office policies as needed
  • Maintain calendar and schedule appointments
  • Distribute and store correspondence (e.g., letters, emails and packages)
  • Schedule in-house and external events
  • Organise and maintain personnel records
  • Update internal databases (e.g., record sick or maternity leave)
  • Prepare HR documents, like employment contracts and induction paperwork.
  • Assist in the revision of company policies 
  • Liaise with external partners, like insurance vendors, and ensure legal compliance
  • Create regular reports and presentations on HR metrics 
  • Answer employees’ queries about HR-related issues
  • Assist in payroll preparation and providing relevant employee information 
  • Participate in HR projects 
  • Ensure a strong people & Culture focus while maintaining company Code of Conduct principles
  • Maintain compliance to external stakeholder online inductions. 

REQUIREMENTS:

  • Proven work experience as an Administrative Officer, HR Administrator or similar role
  • Solid knowledge of office procedures
  • Experience with office management software like MS Office (MS Excel and MS Word, specifically)
  • Strong organisation skills with a problem-solving attitude
  • Excellent written and verbal communication skills
  • Attention to detail
  • High school diploma; additional qualifications in Office Administration or HR is a plus
  • Thorough knowledge of labour laws and awards
  • Excellent organisational skills, with an ability to prioritise important projects
  • Strong phone, email and in-person communication skills
  • Similar role in transport, warehousing or logistics advantageous but not essential
