Providential Homes is a Christian faith based, not-for-profit, charitable organisation that specialises in providing emergency accommodation for those in necessitous or crisis circumstances.
Several fantastic casual positions have opened up to join our Administration / Bookings team!
The role will be working as a part of a team at our head office in Bella Vista, overseeing various Administrative duties, taking bookings for our housing accommodation and providing assistance to our management team.
Various evening shifts are available on a fortnightly roster.
Would also suit university students or anyone looking for evening shifts.
The role includes:
- Answering phone calls to our Bookings Line, taking bookings and maintain accurate records in cloud-based bookings application
- Updating the CRM system first thing each day using information sent through each night and over the weekend
- After Hours calls on some evenings (for the occasional emergency booking).
- Ensuring positive relationships with external partners and stakeholders at all times
- Updating cloud-based systems for all our client and guest details, ensuring accuracy and real-time information on bookings
- Using our current software for all bookings, CRM and reporting, ensuring it is up-to-date at all times
- Data entry
- Collaborating with external partners to update and maintain all records, including bookings and related financial transactions
- Telephone and in-person enquiries at reception, including meeting and greeting guests and taking messages.
- Maintaining the office calendars, including scheduling relevant meetings
- Co-ordinating mail outs, reports, etc
- Design and manage filing systems, ensuring physical and online filing systems are maintained and up to date
- Assisting staff and volunteers where necessary
- Other duties where required as agreed between Employer and Employee
- Respecting the confidentiality of our guests, volunteers and staff including records and discussions pertaining to personal circumstances, etc
This role will be based out of our head office in Bella Vista while also providing online support and communication to our regional management teams in other offices around NSW.
Applicants should ideally have the following:

- Excellent, professional communication and organisational skills, including excellent, positive phone manner
- Professional presentation
- Efficient time management skills to work within time frames and busy schedules
- High level of computer skills and understanding, including use in variety of software (use of both Mac and PC preferable)
- Quick and proficient typing speeds
- Energetic and innovative
- Self-motivated and able to work autonomously and independently
- Ability to work effectively within a team environment
- Outgoing, friendly personality and relationship building expertise. Must love working with people!
- Excellent reporting skills
- Previous experience in similar position advantageous
- On the job training will be provided
Position is to start as soon as possible, however can be delayed for the right candidate if more notice is required at current position.
