The Role

A great opportunity has now become available for an Administration Assistant, to join our vibrant and friendly team.

This is a newly created position, and you will be reporting to an approachable and supportive Office Manager and amazing Director.

 

Responsibilities

  • Act as first point of contact by representing the company in a positive manner to all clients. Provide friendly and professional customer service
  • Manage and answer telephone calls in a prompt manner 
  • Responding to emails
  • Assist the Office Manager in preparing quotes and coordinating with clients and suppliers to ensure projects can start with the correct resources
  • Update Social Media Platforms
  • Data entry
  • Assistance with daily/monthly invoicing and closing of jobs
  • Event/Diary organisation and management
  • Provide general support to visitors
  • Manage the flow of all/most correspondence, Mail and Parcels in the business
  • Ongoing follow ups with quotes to maximize conversions into jobs
  • Ensuring the CRM database is kept up to date and capturing customer interactions in the data base
  • Other duties as assigned by the Office Manager and/or Director

 

Skills

  • Administration skills and working in an office environment is an essential requirement for this role
  • Excellent English, written and verbal communication skills
  • Excellent time management and organisational skills
  • Microsoft suite essential
  • Knowledge of Mac
  • Typing skills are essential
  • Knowledge of Adobe Suite (especially Lightroom and Photoshop) a bonus, but not essential
